Project health at a glance, your client in one place, and an app that keeps working without signal
This update is about running a busy company in Baubiber: seeing which projects need you, talking to clients and getting their decisions, and getting paid. On site, the app keeps working without reception, and residents see first what is waiting on them.
What is new
- Project health. Every project is On track, Watch or At risk, with the reasons and a link to the place where you fix them.
- Your client in one place. A Client tab keeps every update, email, decision and invoice, and clients can decide from the app or from an email link.
- Invoices that get paid. Invoice PDFs with your billing details, payment reminders, a Finances page and the margin of every project.
- Your day from Bobo. A Today card, typed questions to Bobo on the web and in the app, and an optional morning email.
- An app that works without signal. The work clock, logbook entries and chat messages are saved on the phone and sent once you are back online.
- What needs residents now. Residents see what is waiting on them, sign off milestones and pay invoices with the bank details on screen.
For contractors and companies: the Pro dashboard
Project health and the Projects page
The Overview now opens with project health: At risk, Watch and On track, and the projects that need attention. Each one shows why, for example overdue milestones or tasks, spending ahead of progress, decisions or sign-offs waiting on the client, overdue or disputed invoices, unbilled work, or no activity on site. Each reason opens the tab where you can act.
- The figures on the Overview say what they count. Choose 30, 90 or 365 days and compare invoiced and paid with the previous period.
- Projects is now a table with health, client, progress, next milestone, budget used, outstanding money and team. Search, filter and sort it, switch to cards, or switch between active and completed projects.
- A project's Overview tab shows its health and its money. If milestones are still open, the complete button tells you how many and opens them.
- Your personal timer is now a compact button in the page header.
The Client tab
Every project has a Client tab. It shows the client's contact details, whether they use Baubiber or get email only, and the link to their live status page. Next to it is one timeline of everything the client received: updates, emails with their delivery status, chat, shared decisions, milestone approvals, budget changes and invoices.
- Send update takes a title, a message and up to six photos the client can already see. Before you send, you see who receives it and how: in the app with a push notification, or by email with the status link for clients without an account.
- You can send invoices from the Client tab too. The send confirmation now names who gets the invoice by email and in the app, and which property managers are informed.
Ask the client to decide
Put a decision with its options and price differences to your client, from the Client tab or from the decision itself, with a message and a date to decide by.
- Clients who use the Baubiber app get a notification that opens the decision on their project. They confirm before a choice counts.
- Clients without an account get an email that lists every option. Each option has its own secure link to a page where they confirm their choice.
- The Client tab shows whether each request is waiting, seen, chosen or overdue, and an Open decisions card lists all of them. If the date passes, the client gets one reminder the next morning. You are notified as soon as they choose.
- Tasks and decisions now show whether the client can see them. Sharing asks first, because it cannot be undone.
Invoices, payment reminders and Finances
- Billing details in Settings: legal name, address, VAT ID or tax number, register number, IBAN and BIC (checked when you save), payment terms, the small-business exemption and an invoice footer.
- Invoice PDF. Every invoice you send becomes a PDF with those details, the service period, VAT per rate and the bank transfer details, plus the notes that German, Austrian and Hungarian invoices need. It is written in the client's language and attached to their email. The PDF is stored when you send it, so later changes to your billing details never alter an issued invoice. Drafts get a watermarked preview.
- Payment reminders. From an overdue invoice, check who will receive the reminder and send it, at most once a day. Or turn on automatic reminders for your company (they are off by default), and Baubiber sends up to three per invoice. Every reminder appears on the Client tab.
- The invoice list shows open, overdue and paid-this-month totals per currency, exports to CSV for your accountant, and new invoices can take their lines from the budget or a milestone.
- Finances, a new page for admins in the Money menu: revenue invoiced and received per month over the last year, receivables by age, expected payments for the next eight weeks, and delivered work that is not invoiced yet, per project.
Margin: is each project making money?
- Admins set an internal hourly cost rate for each team member, with the date it applies from. A raise never changes the margin of earlier work, and the history shows who set each rate.
- Enter what you paid for materials, travel and other logbook lines, in the entry form or under Purchase costs on the project.
- Finances has a Margin section: revenue without VAT, labour cost, purchase costs, gross margin and margin % per project, for any period, with loss-making projects first. Each project's Budget & finances tab shows its margin to date, the contract value and what is left to invoice.
- Missing data is flagged instead of counted as zero: hours without a cost rate are listed per person, and lines without a purchase cost are marked.
- Cost rates and margin are visible to admins only. Purchase costs are entered in the Pro dashboard.
Boards you can share with the client
Under Planning → Boards, sketch layouts, collect options and place photos, on as many boards as a project needs. Boards save by themselves, and if two people save at the same time, nobody loses their work. A board stays with your team until you share it. After that the client sees it in the app, read-only, and gets a notification. Select notes on a board and choose Turn into decision to create a decision with one option per note, then ask the client to decide. Drawing works on larger screens; on a phone you see a preview.
The site-visit logbook on the web
The Logbook tab now has four views: Site visits, Time & materials, Photos and Activity.
- Site visits shows the same visits as the app, by day: notes, photos, voice notes with transcripts, follow-ups, hours and materials, and a badge that says whether the client can see the visit.
- Record site visit records your voice in the browser, and the entry is filled in for you to check. Or choose Fill in manually.
- Open a visit to play its voice note, read the transcript and tick off follow-ups.
- Activity shows everything that happened on the project. Recent activity on the Overview opens it.
Bobo's daily briefing
- A Today card at the top of the Overview shows who is on site and who started late, what is waiting on clients, which projects are going well, money that is due and what happened yesterday. Every item opens the place where you can act.
- Ask Bobo by voice or by typing: "Brief me on today", "What's behind?" or "What's waiting on clients?". Typed questions get written answers, and on a project page you can ask how that project is going.
- Turn on the morning briefing under Settings → Notifications to get the same summary by email at 7:00 your time.
- Bobo's voice now plays in the browser. If the browser blocks it, a button turns it on.
Planning, Reports and Team
- Planning is one page with a Capacity / Schedule switch, and links and reloads keep the view you chose.
- The work report with CSV export has its own Reports page in the menu, for admins and project managers.
- The workload check sums up each person in one line, such as "32 h of 40 h planned. 6 h of assigned work not scheduled yet." Dates and hours follow your language.
- The Team page shows everyone's planned hours this week. It asks before you remove someone or lower their role, and you can resend or withdraw a pending invitation.
Your offer pipeline
My offers opens with the value of your open offers per currency, your win rate and how long clients take to decide over the last 90 days, and the offers whose decision is due within three days. Offers are listed in a table you can sort and filter, with Open, Closed and All. The time to decision fills in as offers are decided from now on. Project managers and workers see only their own offers, without amounts.
Find anything with Ctrl K
Press Ctrl K (⌘K on a Mac) or use Search in the header to jump to any page. Owners and admins also find projects by title, street, postcode, city or client, as well as clients, invoices by number, amount or status, and team members. Project managers find the projects they lead. Results only include what you can already open.
Settings and your public profile
- Settings has sections with their own links: My account, Notifications and, for admins, Company, Public profile and Reviews. Change your name and profile photo under My account.
- Public profile: open or copy the one baubiber.com link to your profile, see whether it is public (and if not, why), and edit what clients see: years of experience, team size, languages, usual reply time and availability. Visitors read these facts in their own language.
- Certifications with number, dates and an optional private document. You are warned 60 days before one expires, and expired ones no longer show publicly.
- Finished projects: publish a completed Baubiber project with up to four photos your crew took. The client's name, the address and the project title stay private.
- Reviews: every admin can reply to the company's reviews, filter by Needs a reply, and load older reviews.
Project managers run the projects they lead
Project managers now open the projects they lead in the same workspace as admins: Overview, Project details, Planning, Logbook, Budget & finances and Team. They plan milestones and tasks, schedule the crew, follow the budget and mark a project complete. Their Overview shows the health of their projects and today's crew. Invoices, rates and the team roster stay with admins. Self-managed projects that a project manager starts now appear in their projects, including the ones they started before this update.
For contractors in the app
Works without signal
- The app opens without reception, with your jobs, projects, today's plan, a running timer and the projects you opened recently. A banner shows when that data was saved. On a first start without signal, the app says so and carries on once you are online.
- Start, pause and stop the work clock without signal. The time you tapped is recorded, and the hours are booked once, as soon as the phone is back online.
- New logbook entries, voice-recorded site visits, photos and chat messages are saved on the phone and sent in order when there is signal. Each one shows Waiting for signal, Sending or Not sent, with Try again and Discard. Signing out warns you if something has not been sent yet.
- Editing existing entries and sending chat attachments still need signal. Conversations and finances are not stored for offline use, and the saved copy is deleted when you sign out.
Jobs with health, and one way through a job
- Jobs lists each job with its health and main reason, the client, the next milestone, open points and, if you may see money, what is still outstanding. The riskiest come first.
- A job opens on its hub, which lists every section: Logbook, Milestones, Open points, Money, Team and Project details. The separate full workspace is gone, and older links open the matching section. The health reasons on the hub open the section where you can act.
- New job is always there if you may create projects, and you can search jobs by name, street, town, postcode or client.
- Tap the running clock to open time tracking.
- Leads has a Leads · My offers switch. Each lead shows how far away it is and when it was posted, and more leads load as you scroll.
- Admins see outstanding, overdue and unbilled money at the top of Jobs.
- Boards from the Pro dashboard appear on the job with a preview you can zoom.
Talk to the client from the site
- Leads and admins see a Client card on the job's hub. It opens the Client section: call, email, get directions or message the client, see everything they were sent with its delivery status, and follow open decisions.
- Send an update with today's logbook photos straight from the phone. You see who receives it and how before it goes out. Share in update on a site visit the client can see starts one with its notes and photos.
- Ask the client to decide on an open decision, with a message and a date, and see on the decision whether the request is waiting, seen, chosen or overdue.
Invoices, Bobo and project managers
- The invoice list shows invoiced, paid and outstanding per currency and marks overdue invoices. Before you send an invoice, you see who receives it. Payment reminders show their history and the next automatic one, and you preview a reminder before sending it.
- Bobo takes typed questions and answers in writing, which helps on a loud site. Talk instead switches back to voice. Brief me on Jobs, and Brief me on this project on a job, open Bobo with your briefing. Turn on the morning briefing email under Settings → Notifications.
- Project managers run the projects they lead from the same job hub, with the same limits as on the web. A project they only belong to says so instead of loading forever.
For crew members and site workers
- Your week on Today. Below your next job, Later today lists the rest of today's jobs, and This week shows your jobs for the next seven days with times and sites. Pull down to refresh; the bell at the top opens your notifications.
- Ask Bobo what's next. The What's next today? button on Today opens Bobo about your own day, in writing or by voice. You can also get the morning briefing by email with your assignments.
- Today without signal. The app opens with today's plan even where there is no reception.
- Honest screens in the Pro dashboard. If Today or My work cannot load, they say so and offer a retry instead of showing an empty day. When nothing is left, Today says whether nothing was scheduled, everything is done, or how many jobs were never started.
For residents and property owners
What needs you, and a home for each project
- Projects now starts with Needs you: offers to compare, finished work to sign off, budget changes, invoices and decisions your contractor asked for, across all your projects.
- A project in progress opens on its own home: what is waiting on you, progress, the next milestone, the budget left, the latest update from your contractor, recent activity and links to milestones, logbook, budget, invoices and the original brief.
- Stages now say what is happening, for example Waiting for offers, Compare offers, Work in progress and Finished.
- Milestone sign-off. When your contractor finishes a milestone, you are notified that it is ready for your sign-off. Approving names the milestone and how many photos show the work.
Decisions, open points and updates
- When your contractor asks you to decide, the notification opens the decision on your project with every option and its price difference. You confirm before your choice counts. Without the app, you choose from the email.
- Open points your contractor shares are listed on the project. You can choose, comment and see who decided.
- Project updates with photos arrive in the app, or by email if you don't use it. The project home shows the latest one, and Updates keeps all of them.
- Boards your contractor shares appear on the project with a preview you can zoom.
Offers
- Accept or decline an offer right from its details. The confirmation names the contractor, as they are shown to you, and the total.
- Shortlisting now only marks an offer and keeps you on the list. Every live offer has its own Message button, and Undo decline brings a declined offer back.
- Specialties show in your language, and Light contractors are labelled Light.
Invoices you can pay
- An invoice shows how to pay it: the amount, the due date with a countdown, the contractor's name and address, and the IBAN, BIC, bank and payment reference with Copy buttons. Past the due date, it shows how many days it is overdue.
- Accepting an invoice names the contractor and the total before you confirm. Afterwards you can add the cost to your property's finances. The official invoice PDF is one tap away.
- Approving a budget change shows how much it changes the total, for example "+€1,240 (new total €18,900)".
- Property finances follow your role on the property: owners and managers edit them, tenants view them. The Financials switch in Settings is gone.
- Tenants can follow a project on their building, with its progress, milestones and logbook, but without prices, budget or invoices.
For property managers
- Approvals on your phone. If you manage properties, you can approve or decline requests in the app. Each shows the project, the property, who asked, when it expires and, for an offer, the amount and the contractor letter. The confirmation names both, for example "Approve Contractor B's offer for €12,400?". Declining needs a reason. A request notification opens the list, and Settings → Approvals shows how many are waiting.
- On a property you manage, finished milestones come to you for sign-off. In the app, approval requests and budget changes that wait on you appear first, under Needs action in your notifications.
- In the Nest dashboard, invoice review has a PDF button for every invoice, and a project's Activity tab shows the same feed as the Pro dashboard.
- On the Team page (Nest and Pro), you confirm before removing someone, lowering their role or handing over the primary admin role, and you can resend or withdraw pending invitations.
- Bobo in the Nest dashboard now takes typed questions too.
For everyone
Notifications that open the item
- A notification about an invoice or a milestone opens that invoice or milestone, in the app and from the button in the email. An accepted finance invitation opens the property's finances. Opening a push marks it as read.
- Notifications opens on Needs action while an approval, a choice, a budget change, an invoice or offers to compare wait on you. All shows everything.
- Under Settings → Notifications, choose per category which push notifications reach your phone. Everything still appears in Notifications.
- Notifications you received before this update open the same place as before.
Amounts the way you type them
Every amount field in the app now understands your language. In German and Hungarian, 1.500,00 or 1 500 is fifteen hundred and 12,50 is twelve fifty. Under each amount you see what will be saved, for example "= €1,500.00", and an amount that could be read two ways is flagged before you save.
Clearer screens
- When something fails to load, the app says so and offers Retry instead of an empty list, and lists show their outline while they load.
- Menus with several choices open as a sheet from the bottom, so Cancel is always there, on Android too. Confirmations name what they are about.
- Pull down to refresh any section of a job; refreshing a project reloads only that project. Lists stop refreshing while you are on another screen, and a notification that arrives while the app is open refreshes the project it is about.
- In the dashboards, many date and time fields now use a calendar in your language and accept dates the way you write them. Project activity in the Pro and Nest dashboards now reads in German and Hungarian too.
- In the web app, checkboxes, photo tiles and links respond to a click again, for example when you pick photos for a client update, tick off an open point or filter leads by trade.
- Chat actions → Report a Message reports the other person's latest message and shows it before you send the report.
- A contractor's name links to their profile only when there is a profile to open.
Privacy and speed
- Voice notes from internal site visits stay with your team.
- Long logbooks load faster: the app loads them in pages as you scroll.
- Time & materials in the Pro dashboard loads in pages too, and creating an invoice still offers every unbilled line.
- Residents and property managers see a budget's plan, changes and totals, but no longer the amount of each logged hour or material, which gave away the crew's rates.
